How Much Time Does AI Actually Save a Small Business Owner?

By Tahar Ali | I build AI tools that help small businesses scale

The short answer

Between two and five hours a week, once you have been using it for a month or two. That is the honest range for most UK small business owners, based on the published research and the work I have seen done.

If you run an admin heavy business like a letting agency or a bookkeeping practice, expect the higher end. If you are a tradesperson using it for quotes and follow ups, expect the lower end, at least until you change a few processes rather than just speeding up the ones you already have.

Below is where those numbers come from, what makes the gap between two hours and five, and how to work out your own figure before you spend any money.

The three numbers people quote, and what each one means

Three pieces of UK research get passed around when this question comes up. They say different things because they measured different things, and the gap between them is where the honest answer lives.

26 minutes a day, about 2.2 hours a week. The UK government ran a trial with over 20,000 civil servants using Microsoft 365 Copilot for three months. Participants saved an average of 26 minutes a day. It is self reported, not independently measured, but it is the largest published UK study. Think of it as the floor: an AI assistant added on top of an unchanged job.

2.5 hours a week on average, six or more for the businesses that do it well. Dell Technologies surveyed 2,013 UK SME decision makers in 2026 and found AI saves an average of 2.5 hours per employee each week. A small group, 7% of those surveyed, reported six or more hours per employee each week.

5.2 hours a week, but only among businesses already using AI. An Opinium survey of 1,000 UK SME decision makers, commissioned by OpenAI, found those using AI estimate it saves them 5.2 hours a week. That figure usually gets quoted without its caveats. It is self reported, it only counts people who already use AI, so it leans towards people who think it works, and it measures what people estimate rather than what was timed before and after.

Put them together and the honest picture is this. Add an AI assistant to your existing way of working and expect roughly two hours a week back by the end of the first month. Change the processes themselves, stop doing some steps entirely, stick with it for a quarter, and the saving grows. Five hours a week is achievable. It is not automatic.

What makes the difference between two hours and five

It is not about which tool you pick. It is about whether you change how you work or just add a faster way to do the same thing.

Assistance tops out at about two hours. You keep your workflow and use AI to draft, summarise and research faster. You write a quote in eight minutes instead of twenty five. The savings are real, but they are limited because a person still has to start the work, oversee it and finish it.

Redesign gets you to five hours and beyond. The businesses at the top end have changed the process. A quote is not written faster, it is assembled from the job details and checked in one pass. An invoice is not chased by hand, a scheduled reminder does it. The saving compounds because you removed the task, not just sped it up.

The type of business matters too. If your day is emails, documents, data entry and scheduling, you have more tasks AI handles well than someone who spends the day on site with tools in their hands. A letting agent working through 200 emails a week has more time to recover than a plumber who spends six hours a day driving and fitting. Both can save time. The letting agent will save more on paper.

If you are not sure where to begin, what to automate first walks through how to choose.

How to work out your own number in an afternoon

You do not need a consultant for this part. You need a note on your phone and a week of honest tracking.

Pick one task that feels repetitive and happens at least three times a week. Time it properly five times. How long does it actually take, not how long you think it takes? Multiply by how often it happens in a week. That is your baseline.

Then do it with an AI assistant for a week and time it the same way. Be honest about the time you spend checking and correcting the output, because that counts. Your real saving is the old time, minus the time you still spend on it, minus the checking.

A quote that used to take 30 minutes and now takes 8 minutes of your time plus 4 minutes of checking has saved you 18 minutes, not 22. Still useful. Just worth counting properly.

What this means for your budget

Most of what you need to save two hours a week costs between nothing and twenty pounds a month: the free versions of ChatGPT and Claude, and the AI features already built into software you own. If that is all you need, you do not need a consultant or a custom build. Spend an afternoon learning and you are done.

If your saving is stuck at two hours and you want five, that is where a custom build or a redesigned workflow starts to make sense, and that is where my work sits. A build that connects your enquiry form to your systems and drafts the replies costs between £2,500 and £8,000, scoped and priced in writing before we start. If it saves you five hours a week and your hour is worth £50, that is £250 a week, around £13,000 a year. There is more on this in what AI automation should cost and what AI costs to run each month.

And the part I always say: if your business is in survival mode, if cashflow is the problem, or if the process you want to automate changes completely every month, do not spend anything on this yet. Fix the business first. The tools will still be here. What I build and what it costs is laid out in full if you want to compare.

Quick answers

How long does it take to start seeing time savings from AI?

Most people see the first saving within a week of using it regularly. The first month is about learning what works for your business. By month two the saving is usually clear enough to measure.

Is AI worth it for a sole trader?

Yes, but the numbers are smaller. If you save two hours a week and your hour is worth £40, that is £80 a week, about £4,000 a year, for roughly £20 a month in subscriptions. Whether that matters depends on what you do with those two hours.

What is the most common mistake when measuring time saved?

Counting the gross time instead of the net. People compare how long a task used to take with how long the AI takes, and forget the time they spend checking and fixing the output. The real saving is always lower, and planning on the bigger number leads to disappointment.

Can I save time with free tools?

You can get most of the way on free tools. ChatGPT and Claude both have free versions that handle drafting, summarising and research. The paid versions add speed and consistency. It is a convenience, not a barrier.

Do I need a consultant or can I do it myself?

If the task takes less than two hours a week, do it yourself with off the shelf tools. If it takes five hours or more and involves several steps or systems that need connecting, a build will save you more than it costs. Anything in between depends on how comfortable you are with the tools.

If you want an honest figure for your business rather than a range, book a free call. I will tell you what it would take and what you should expect to get back. If the answer is that you do not need anything, I will say so.
