How Much Does an AI Chatbot Cost for a Small Business in the UK?

Nobody wants to publish a number, so let me.

If you ask three companies what a chatbot costs, you will get three refusals to answer followed by a request for a discovery call. That is not because the question is hard. It is because the number depends on what you need, and they would rather find out how much you have got before they say it.

Here is the honest range for a UK small business in 2026.

The short answer

A simple one, answering the questions people always ask, on your website only. £500 to £2,000 to build. Tens of pounds a month to run.

One that actually does something. Takes bookings, gathers job details, checks availability, passes real enquiries to you with the information already collected. Fifteen hundred to four thousand pounds. Twenty to eighty pounds a month.

One wired into the rest of your business. Talks to your calendar, your customer records, your quoting, and follows up on its own. Four to eight thousand pounds, occasionally more if what it plugs into is awkward.

Those are build prices, paid once. The monthly figure is the software underneath, and it is genuinely that small. If somebody tells you the running cost is hundreds a month, ask them to itemise it.

What actually moves the number

How many questions it has to handle well. Twenty is easy. Two hundred is a different job. The cost is not the answering, it is the working out of what people really ask, which is never quite what you think.

Whether it has to be right or just helpful. A bot that suggests things is cheap. A bot that quotes a price, confirms a slot or takes a deposit has to be right every time, and being right every time is most of the work.

What it has to connect to. Answering on your own website is straightforward. Answering on WhatsApp, Instagram and your website, in one place, with a human able to step in, costs more. It is also usually where the money is, because that is where enquiries actually arrive.

How much of your business it needs to know. A bot that knows your opening hours is one afternoon. A bot that knows your prices, your lead times and what you will and will not do is a proper piece of work.

The three ways people overpay

The monthly retainer for a bot that is already built. Once a chatbot works, it mostly sits there working. Paying somebody several hundred a month in perpetuity for that is paying for their office. A retainer is fair when new work arrives every month and you can see what it bought you. Paying monthly just to keep something running that runs on its own is not.

Buying a platform when you needed a tool. There are chatbot products that cost two hundred a month and are aimed at companies with a support team. If you are one person with a van, you are subsidising features you will never open.

Paying for a bot when the problem was the phone. I have talked people out of chatbots more than once because their enquiries came by phone and the real problem was nobody answering it. A chatbot would have solved nothing. There is more on that in why small business chatbots fail.

The question to ask before you spend anything

How many enquiries do you get outside working hours, and what happens to them now?

If the answer is a handful a month and you ring them back the next morning without losing any, you probably do not need this. If the answer is that you do not actually know, that is worth finding out before you spend four figures, because the whole case for a chatbot rests on it.

What I would tell you if you rang me

For most small businesses, the useful version is a custom tool at £2,500 to £8,000, and it earns that back inside a year if you were genuinely losing enquiries. If you were not losing enquiries, it earns nothing, and I would say so.

The thing that makes it worth having is rarely the technology. It is that somebody sat down and worked out what your customers actually ask and what a good answer sounds like in your voice. That work would improve your business even if you never built the bot.
