Is My Business Too Small for AI?

This is the question I get asked most, and it is almost always asked apologetically. One person, a van or a spare room, turnover that would not impress anybody, and a slight embarrassment about even ringing.

So let me answer it properly, because the honest answer is not the one you would expect from somebody who does this for a living.

Size is the wrong measure

The question people think they are asking is whether their business is big enough to justify it. The question that actually matters is whether the same job happens over and over.

A one person business where the same forty minutes disappears every day into writing quotes has a stronger case than a twenty person company where every job is genuinely different. Repetition is what makes automation worth anything, and repetition has nothing to do with headcount.

In fact the smallest businesses often benefit most, because there is nobody else to absorb the work. In a company of twenty, the boring job gets handed to somebody. When it is just you, it lands on you at nine at night, every night.

The two cases where the answer is genuinely yes, you are too small

When the job takes under two hours a month. Automating it saves you a day a year and costs more than it returns. Do it yourself and keep your money. I mean that, and I say it on the phone regularly.

When you are pre revenue and hoping this will create customers. It will not. Automation makes an existing thing faster or stops you losing what you already have. It does not manufacture demand out of nothing. If you have no customers yet, the problem is not your admin, and spending on this instead of on finding customers is a way of feeling productive while avoiding the hard bit.

Those are the two. Not turnover, not staff numbers, not whether you have got a proper office.

What actually decides it

Three questions, and you can answer all three in a week.

Which job happens the same way every time? Keep a note for a week every time you do something you have clearly done before. Same message retyped. Same figures copied over. Same question answered again.

How many hours a month is it? Rough is fine. Minutes multiplied by frequency.

What are you losing without noticing? This is the one people miss. Enquiries that arrive at night and get answered on Tuesday. Quotes that went out too slowly. The customer who has not been back in a year and nobody chased. That cost is invisible, which is exactly why it never gets counted, and for a small business it is usually bigger than the time saving.

If the hours are under two a month and nothing is quietly leaking, you are too small and I will tell you so.

The money is smaller than you think

Part of why people assume they are too small is that they assume the numbers are enterprise numbers.

A simple automated workflow is £500 to £2,000, and a custom AI tool for one job is £2,500 to £8,000. The software it runs on is normally tens of pounds a month. That is a real number for a real small business, and it is nothing like what an agency will quote you for the same thing.
