AI for Accountants and Bookkeepers: The Jobs Worth Automating

Accountancy gets more AI sales calls than almost any other profession, and most of them are aimed at firms with two hundred staff. If you are a sole practitioner or a small practice, the useful list is much shorter and much less exciting.

Where it genuinely helps

Chasing clients for records. The single biggest time drain in a small practice, and the least skilled. January is miserable largely because of it. Automated, polite, escalating reminders that stop the moment records arrive will give you back more hours than anything else on this list.

Reading what clients send you. Clients send photographs of receipts, PDFs, screenshots and occasionally a text message describing a purchase. Pulling the supplier, date and amount out of that mess is genuinely well suited to this technology, and it is boring work you should not be doing.

First draft correspondence. Explaining a tax position in plain English to a client who does not understand it. You still check and sign it, but starting from a draft rather than a blank page is a real saving across a week.

Finding the anomaly. Flagging the transaction that does not fit the pattern, so a human looks at the twelve odd ones rather than the twelve hundred normal ones.

Where it should not go near

Anything you sign. The judgement, the filing, the advice. That is your name and your licence.

Anything requiring a definitive answer on tax law. These tools produce confident wrong answers about legislation. Confident and wrong is the worst combination in your profession.

Client money decisions. Obviously, but it needs saying because people ask.

The regulatory bit

You have obligations most businesses do not, and they are the reason to be careful about which tools you use rather than a reason to avoid them.

Client data is confidential and often personal data under UK GDPR. Before anything touches it, know where it is processed, whether it is used for training, and what your professional body says. ICAEW and ACCA both have guidance and it has moved recently.

The practical answer for most small practices is to use tools with proper business terms and data processing agreements, not the free consumer tier of whatever is popular. That costs a bit more and removes most of the problem.

Where a tool cannot tell you where the data goes, do not use it for client work. That is a short conversation.

What it costs

For a small practice, the useful builds sit in the same range as any other small business: £500 to £2,000 for a simple automated workflow, £2,500 to £8,000 for a custom AI tool built around one job, and tens of pounds a month to run.

The record chasing one usually pays for itself inside a single January, which is the easiest business case in this entire article.

What I would do first

Chasing records. Every time.

It is the most repetitive job in the practice, it happens on a predictable schedule, nobody enjoys it, and delays there cause every other delay downstream. Fix it once and January stops being what it currently is.

Then look at reading what clients send in, because that is the other big one and it stacks on top.
